Management Services

OPTIONAL ADDITIONAL SERVICES

MAJOR WORKS

For most major works we recommend that independent Surveyors be employed to prepare specifications, obtain tenders and monitor works to completion. Quotations will be obtained from Surveyors, whose fees are to be agreed by the Directors prior to instruction. Fairoak Estate Management makes no charge for employing Surveyors/specialists.

INSURANCE CLAIMS

We can assist insurers and loss adjusters with any major claims that arise. Agreement for our fees will be sought from Directors prior to proceeding. No charge is levied for assisting with minor claims.

LEGAL NOTICES

We can prepare and issue legal notices such as section 20 notices, which are required by law for all works exceeding £250.00 per property. The directors will be notified of any additional fees and instructions obtained prior to issuing legal notices.

ADDITIONAL LEGISLATION

Additional charges will be made where new legislation requires specific actions to be undertaken. Directors will be notified of legislative changes/action required and the additional fees and instructions will be obtained.

ASBESTOS & FIRE

Asbestos/fire assessment register update – Current regulations dictates that registers must be kept updated regularly. Fairoak Estate will carry out a specific inspection and update all registers annually to ensure compliance for which an additional charge is levied.

COURT ATTENDANCE

Court/LVT attendance – Where attendance at Court or LVT is required Fairoak will charge on an hourly basis. Directors will be notified of additional fees and instructions will be obtained.

BLOCK MANAGEMENT LONDON – OUR SERVICE INCLUDES

  • Regular inspections of the estate

  • Provide Directors with progress reports of ongoing issues

  • Organise repairs up to the authorised spend limit

  • Obtain quotations and supply copies for repairs over the authorised spend limit

  • Obtain quotations and supply copies for additional services

  • Deal with queries from residents

  • Manage concierge services including PAYE and temporary cover

  • Open and maintain a bank account in the name of the estate and provide bank statements as required

  • Provide income and expenditure analysis report detailing a complete breakdown of the service charge account every three months

  • Prepare and provide draft annual budgets for approval

  • Issue the service charge budget and service charge/ground rent demands as directed

  • Process service charge accounts including paying contractors by direct transfer or cheque, arrange for cheques received to be banked and arrange transfer of agreed funds to reserve accounts maintained by others

  • Take reasonable measures to collect service charges from residents. Should charges remain unpaid, advise of procedures and costs of taking further action

  • Instruct Accountants to produce Annual Accounts in accordance with clients’ authorisation and supply relevant financial information required by the accountants

  • Following approval, file Annual Accounts with Companies House (if directed & not completed by Accountants)

Can we keep our existing contractors if we are happy with them?

Of course. As long as contractors can comply with our Code of Conduct.

How do I report a problem or maintenance issue to you?

Our offices are open Monday to Friday 9am to 5.00pm. We can be contacted by telephone, e-mail or through our online enquiry form.

Where do you keep our service charge funds?

All funds received are paid into a bank account which is held under a statutory trust, which is specific to your development and protected by legislation.

Why appoint a managing agent?

The role of a managing agent today is a complex one and requires a professional approach. To carry out the role requires knowledge of landlord and tenant law, building construction, health and safety regulations, basic accounting and more. There are benefits of professional management which should be balanced against the fees which leaseholders will have to bear.

You manage our estate and we need additional services not covered by our contract. What do we do?

How do we order your block management services?

Contact us by email or phone for an initial dialogue about your needs. Our standard block management package covers many clients’ needs but we can quickly establish if you need any of our bespoke services as well as, or instead of, our standard one. Once we’ve done that we’ll provide you with a contract outlining the details of our service agreement and when you are happy, you sign it and return it.
